2004 WesternSFA Quarterly General Meeting
Meeting began 7:10 pm In attendance: Craig Dyer, Gary Swaty, Catherine Book, Ray Gish, Stephanie Bannon, Lori LaPierre, Bob LaPierre, Susan Uttke. Guest – Mike Willmoth 1) Minutes from last meeting read and approved. Minutes for this meeting will be emailed. 2) Treasurer’s report: $2353.61 balance Plus $100 from ConRunners 10/03 (15 memberships less expenses) Expenses: $30 for Book Festival booth, $30 for ad in ConNotations, $48 for PO box, $50 for books to Pappas school Treasurer’s report - Approved. 3) Committee Report for last ConRunners: 2/21/04 15 participants, $225.00 Expenses: $266 approx Revenue: <$41.00> approx Next scheduled ConRunners: 06/12/04 The topics will be: Hot Topics for W57 from 9-1pm Website Design from 2-4 pm TBD from 4-6pm Rate will be $15 Event coordinator is Gary Swaty Banker is Catherine Book Registration is Ray Gish Catherine will be Event Coordinator for Oct 9th meeting. 4) New Business:
$30 approved for ¼ page in ConNotations, Gary will send new ad artwork to Stephanie. 5) $50 approved to support cost of CASFS booth at Book Festival. Catherine will do a poster and Gary will do flyers. New flyers and poster will be used at Lep30 also. 6) All Board members and Procedural Officers were re-elected. 7) Next Quarterly Meeting scheduled for May 14th at 7pm at Craig & Stephanie’s. Minutes for this meeting will be emailed. 2) Treasurer’s report: Beginning Balance: $2337.03 Expenses: $233.78 Balance: $2103.25 Lost $15.00 on ConRunners 9. Still waiting for approximately $250.00 of credit card fees from Westercon 57. Treasurer’s report - Approved. 3) ConRunners Report: ConRunners 8: Went in the hole for $15.00 Good presentation from Dawn Mullan ConRunners 9: October 9, 2004 Embassy Suites Event Coordinator – Catherine Book Banker – Gary Swaty Registration – Ray Gish There will be wine & cheese tasting to entice attendance. Topics: Convention Food Service and Publicity & Advertising. We will not discuss Westercon 57 or CopperCon 24. ConRunners 10: February 5, 2005 Event Coordinator – Dawn Mullan Banker – Gary Swaty Registration – Ray Gish Topics – TBD Location – TBD ConRunners 11: June 11, 2005 ConRunners 12: October 8, 2005 Question: Do Guest Speakers get in event for free? Answer: No. New Business: 4) Future events for WSFA. Discusssed possible future events: smaller social events (i.e. bowling, movies), ice cream social (maybe raise money for Pappas school). Stephanie will look into contacting Harkins for a Movie Day. Catherine will talk to Pappas school about events that we could sponsor, perhaps at slower times of year when they don’t get public support. Catherine will contact VNSA – how many hours do we need to contribute to get our name on their banner? Once we decide on an event, we’ll appoint an Event Committee. 5) Discussed appointing Dawn Mullan as our Public Relations Officer. She will create a Press Release and post to website. She will also create a Media Packet and will be ready to contact press when an event is scheduled. Move to elect. Motion Approved. 6) Next Quarterly Meeting scheduled for November 13th at 7pm at Craig & Stephanie’s. 7) Meeting adjourned at 8:45 pm. Treasurer’s report - Approved. 3) ConRunners Report: ConRunners 9: October 9, 2004 Went in the hole for $95.00 Discussion was satisfactory. The wine & cheese didn’t seem to help spark attendance. ConRunners 10: February 26, 2005 Event Coordinator – Stephanie Bannon Banker – Gary Swaty Registration – Ray Gish Topics – Committee positions, Decision making. We’ll invite AniZona committee to come.
