Western SFA Quarterly General Membership Meeting
February 2, 2007
Minutes
Attendance: Bob LaPierre, Craig Dyer, Stephanie Bannon, Gary Swaty, Sue Uttke, Catherine Book
Called to order: 7:09pm
1) Introduction of guests: none
2) Read and Approve minutes from last meeting. Corrections were noted and minutes will be
amended and distributed.
3) Treasurer’s report. None due to Bob’s recreational drug use leading to a frivolous heart attack
threat that diverted our Treasurer’s attention at the critical moment…
OLD BUSINESS:
4) Progress on new logo – we need a mascot. Suggested we advertise a contest like CASFS did for
their logo. Suggested we buy an ¼ page ad in next ConNotations for logo contest with prize for one
membership to choice of local Arizona fan conventions. Stephanie will design the ad. Moved,
seconded, and approved.
5) Cost on changing banner (Stephanie): We decided we could use the banner to advertise our
group at local cons. Change to WSFA with our web address. Stephanie thought the change would cost
about $50.00 and could have it ready for AniZona. Moved, seconded and approved.
6) Staffing Fan table at LepreCon 33? No
7) Secretary still waiting for file copy of our tax exempt status: Stephanie will again attempt to
locate errant box… Getting closer all the time…
8) ConRunners Report: no events since last meeting
9) Bob will talk to other SMOFs regarding future possibilities.
10)Did Stephanie contact the non-profit lawyer about making a presentation at a future ConRunners? No, but she’ll do it at earliest opportunity. (Note from Secretary: anyone want to start a pool?)

13)We had collected a number of items to use for raffle prizes at a fan table that we don’t plan to do for the foreseeable future. Craig will take the box to AniZona quartermaster to use for volunteer giveaways at AniZona. Anything remaining will be returned to us. Moved, seconded and approved.
14) Dues are due.

Called to order: 7:11pm
1) Introduction of guests: none
2) Read and Approve minutes from last meeting.
3) Treasurer’s report. ConKopelli account was transferred to main account and closed, see attached Financial Report. Moved to accept, seconded, all Ayes.
Arizona Corp Comm Annual Report filed. Secretary needs a copy. Taxes will be mailed May 2007.
OLD BUSINESS:
4) Progress on new logo – we need a mascot. Suggested we advertise a contest like CASFS did for their logo. Suggested we buy an ¼ page ad in next ConNotations for logo contest with prize for one membership to choice of local Arizona fan conventions. Stephanie will design the ad. Moved, seconded, and approved at last meeting. The ad will be in issue 17.3.
5) Changing banner: Bob suggested we use the ConKopelli alien Kokopelli – Catherine will contact the artist, David Cherry.

locate errant box… Getting closer all the time… Anytime now…. Really….
8) ConRunners Report: 3 attendees outside our group but it benefited some of the AniZona kids. The mini-ConRunners are probably more effective.

9) Bob will talk to other SMOFs regarding future possibilities. Yes, a few positive feedback but two of us have to attend the previous SmofCon before the one we bid. This year’s is in Massachusetts in December. Someone needs to attend the 2008 so we can host 2009.
10)Did Stephanie contact the non-profit lawyer about making a presentation at a future ConRunners? Yes – but he lives in WV so only if travel is convenient – he would definitely be interested in attending our SmofCon.
11) We had collected a number of items to use for raffle prizes at a fan table that we don’t plan to do for the foreseeable future. They weren’t used at AniZona. Motion to donate to CU27 Volunteer Coordinator. Seconded, approved.

2) Read and Approve minutes from last meeting. Motion, seconded, and approved.
3) Treasurer’s report. See attached Financial Report. Moved to accept, seconded, 6 Ayes, 1 Abstaining.
Secretary still needs a copy of Az Corp Comm Annual Report.
OLD BUSINESS:
4) New logo ad for ConNotations was approved in Feb meeting. Stephanie will insert into ConNotations Issue 17.6.
5) Catherine still needs to contact David Cherry to ask if we can use the ConKopelli artwork.

9) Who’s can attend the SMOFCon in Massachusetts this year? Noone. Maybe next year.
10)Craig still needs to bring in the unused raffle prizes from AniZona to pass to the CopperCon Volunteer Coordinator.
11)There was an online motion and vote on May 22, 2007, regarding a donation to the Browncoats fundraising effort. $100 was approved and donated. Thank you acknowledgement was received.
12)Vote for the new by-laws. Discussion. Motion, seconded, & approved. 7 Ayes. Filed with the Secretary.

14)Caitlin Gilson, Chairperson of Across Plus Anime Club has requested a merger with WesternSFA. They will turn over $13,900 plus assets in exchange for:
a. All events will be under the auspices of WesternSFA dba Across Plus or AniZona.
b. No dues are required to WesternSFA.
c. AniZona AcrossPluswill be a standing committee.
d. (what about their members?)
Move to Assimilate (Resistance if Futile…), Seconded, and Approved. 6 Ayes, 1 Abstaining. WesternSFA can provide a webpage, $15.00 annually will pay for domain and email. Stephanie will check on it.
15) A new By-Law was submitted to cover handling AniZona under Western SFA. All members signed. Filed with the Secretary.
Next Voting meeting scheduled for Nov 2, 2007, 7pm at Bookmans, Phoenix.

2) Read and Approve minutes from last meeting. Moved, seconded, and approved.
3) Treasurer’s report. See attached Financial Report dated 11/02/07. Moved to accept, seconded and approved.
OLD BUSINESS:
4) New Progress on new logo: It missed getting into the ConNotations issue 17.3. Ad will be printed in ConNotations issue 17.6. Monies for ¼ page ad was previously approved. Motion to bump to ½ page size. Seconded and Approved.
5) Catherine did contact David Cherry to ask if we can use the ConKopelli artwork. He graciously allows that we can use it for anything we please. Email confirmation from David Cherry will be archived in Secretary’s files.

13)Trade Names: We already own AniZona and AniZona Anime. Other name proposed are:
ConAzona, WesternSFA, WesternSciFicAssn, ConKopelli, ConRunners, AcrossPlus
Motion to approve $60.00 to pay fees to own those names. Seconded and Approved.
14) New General Members joining WSFA from AniZona: Shane Bryner, Tanya Cropper, Eric Curless, Caitlin Gilson, Jodi Lewis, Kyla Mills and Sara Schooley. Shane, Jodi and Kyla have Charter Member status.
Next meeting scheduled for Feb 1, 2008, 7pm at Bookmans, Phoenix.
