GUEST LIAISON


Needs:

Time Needed - 1-2 hours weekly
Time Needed At-Con - Full Time


OVERALL JOB DESCRIPTION

Once guests have been selected by the Chair, and the Industry committee person has established contact with the guest and/or the guest’s company, the Guest Liaison then issues an invitation. Once guest expresses interest the guest liaison coordinates with the Chair, Banker and Industry to lock down the terms and get the contract signed. After signing all guest issues are handled via the Guest Liaison


PRE-CON

Initiates contact with guests selected by Chair
Negotiates contract with guest while coordinating terms with Chair and Banker
Is go-between for contact between guests and convention for all needs
Arranges access to guests
Provides signed copies of contract to Chair and Banker
Determines guest needs and desires (type of room, number and type of panels)
Arranges guest travel
Arranges airport to hotel and back travel
Arranges personal assistant for guest, if promised
Provides guest contact info to programming
Provides guest itinerary to guest no less than 4 weeks pre-con
Arranges for gift basket (either makes themself or recruits someone to do so)
Arranges translator if needed
Makes Green Room and Staff Lounge aware of any food issues or preferences


AT-CON

Meets guests upon arrival
Escorts guests to room, provides updated itinerary
Introduces guest to personal assistant (if provided)
Shows guest around venue
Arranges transportation to restaurant or stores when guest is not needed for panels


POST-CON

Provides report to Chair and Banker including contact info for all guest
